How to Create, Post, and Issue an Invoice
Complete guide to drafting itemized sales invoices, applying provincial sales tax (SRB/PRA), and posting them to Accounts Receivable.
Before You Start (Prerequisites)
- Active organization with initialized Chart of Accounts
- At least one customer profile in your directory
- Configured tax rate (e.g. SRB 13% or PRA 16%)
Step-by-Step Instructions
1
Open Invoices List
In your dashboard sidebar, click "Sales" > "Invoices".
2
Click New Invoice
Click the primary "+ New Invoice" button to load the invoicing form.
3
Select Customer & Set Dates
Choose the customer from the dropdown. Verify the Issue Date and Due Date.
Payment terms configured on the customer profile will calculate the due date automatically.
4
Add Invoice Line Items
Add line items specifying Item Description, Quantity, Unit Price (in PKR), and applicable Provincial Sales Tax.
The invoice automatically computes the line subtotal, sales tax portion, and gross total.
5
Save Draft or Post Invoice
Click "Save Draft" to keep working, or click "Post Invoice" to commit the voucher to the General Ledger.
Posting automatically credits Sales Revenue (4000) & Sales Tax Payable (2100) and debits Accounts Receivable (1200).
Important Audit & Compliance Notes
- Posted invoices receive an immutable sequential reference number (e.g. INV-2026-0042).
- Once posted, invoices cannot be deleted; they must be adjusted via a Credit Note to maintain audit compliance.
